Processing Library Owned Material for Reserve

Search the library catalog for the title that you want. If you do not find the title,
enter a request for the library to order it

When you locate the item click ' hold selected item'.

Place a hold using your internal card.

Click 'Place hold; print paging slip'.

The expiry date for the hold should in most cases be the end of the quarter.

Add course information to the hold note field in the following format:

Instructor/Course/Loan


Special Situations

Reference books are not placed on reserve. Reserve staff can make a cross reference showing the location of the book.

Books borrowed from Summit or Interlibrary loan may not be placed on reserve.

Books may be borrowed from the law library. Contact Patty Roberts. The law library has a different circulation system. This means that when the law library books arrive they are treated like personal copies.

Library use only materials may not be placed on reserve. We sometimes receive requests to put library use only journals on reserve and we do not do this.

Books requested that are from the Undergraduate Library should be retrieved from the stacks by the staff member and then processed.

If the requested book is on order, a hold should be placed on the order record.

Electronic books may be linked to reserve courses, but check the terms of the license, and let the professor know that you have linked an electronic book. A record is created in the same way that records are created for the electronic reserve page.


Processing Library Owned Materials When They Arrive

When library books or accompanying materials arrive they will be checked in and placed on the reserve hold shelf. There will be a piece of paper in the book with the reserve processors name and the date that the item was placed on the reserve hold shelf.

Attach a piece of clear tape to the upper part of the book's spine. Tape the reserve label over the clear tape. Be careful not to overlap the clear tape with the scotch tape.

To link the book to the reserve list:

Access the course reserves module in Millennium and find the course that the item will be linked to.

Click on 'add item(s)'.

Click on 'add selected item(s)'.

Enter the location. This will be ugres.

Enter the loan period. Reserve loan periods are in the range from 30 to 36. If you enter 30 you will be at the beginning of the reserve loan period list.

The status should be 'active'.Click 'O.K.'.

The book is now linked to the course record.

Check in the book. Place the book on the reserves shelving cart.
