Creating a list of expired reserve lists using create lists

These directions presume knowledge of the create lists module.  This list will be prepared by the Reserve Supervisor close to the end of the quarter. 

1. Select the create lists module on Millennium

2. Using the dropdown menu - select an empty list.

3. Name your file according to the established convention. (name, not needed after date, something about what the file is)

4. Change record type to 'course'.

5. Double click under 'type' and click O.K.

6. Under 'field' select location.

7. Under 'condition' select 'equal to'.

8. Under 'value A' type ugres.

9. click 'append line'

10. Double click under 'type' and click O.K.

11. Double click under 'field' and select 'end date'.

12. Double click under 'condition' and select 'less then or equal to'.

13. Enter the date. Choose a few days after the course ending date.

14. Click search.

15. When the list is complete click 'sort records'. Sort by Course and Professor.

16. Click 'dedupe' to remove duplicates.

17. Click 'list records' to format your list. List by course and professor.

18. Print list.  Review list and highlight lists that are likely to be renewed for the next quarter. 

19. Empty list in Millennium.

19. Divide list among Access Services staff working on reserve deprocessing, and make sure everyone knows not to take off reserve the lists that are marked with highlighter.
