We would like to welcome you as a Natural Sciences student employee.  The work that you will be doing is very important to the daily operations of the library.  In order to maintain the quality of service that we provide to our library users, your understanding of expectations and cooperation is critical.  We will do our best to provide you with the training and assistance you need in order to do your job well.  However, it is incumbent upon you to seek information about policies and procedures that you are either unsure of, or unfamiliar with.  Don’t hesitate to ask questions about anything you don’t understand.

 

EXPECTATIONS:

 

 

1)  Length of employment and re-hire

Your employment status at Natural Sciences is contractual for the current quarter and contingent upon your ability to consistently meet your work schedule from start to end of the current quarter.  During your employment, your re-hire status and work reference will be evaluated, based on the following:  the quality and quantity of your work, your attendance, your work attitude, and your ability to carry out your duties both independently and as a member of a team working toward the service goals of the UW Libraries.  Your eligibility for re-hire during subsequent quarters will also be based on available work hours, the current workload, and on the student budget for Natural Sciences.  Upon initial hiring, we ask that student assistants commit to two consecutive quarters of employment in order to justify the amount of training involved.  After that, continued employment is optional at the request of the student employee.  Re-hire (at any time) is at the discretion of the Student Supervisor, based upon the considerations mentioned above.

 

2)      Ending employment

If you plan to end your employment, please give two weeks notice.  You must also make arrangements with Libraries Administration for the pickup or mailing of your last paycheck. 

 

3)      Your schedule

Schedules are assigned on a quarter-by-quarter basis.  It is your responsibility to work all of your regularly scheduled shifts at all times that the library is scheduled to be open, including finals week and periods of inclement weather (such as snow).  Each quarter during the first week of classes, every effort will be made to solve work schedule conflicts due to changes in your class schedule.  Holiday hours will be assigned on a volunteer basis, though you may be called upon to work your normal day of the week if it falls on a holiday and there are no volunteers.  Signing up for hours during interim periods and Summer Quarter is optional.  Any exceptions to your schedule must be approved in advance by your supervisor.

 

4)      Your hours

While you are enrolled in classes during any given quarter, your work hours should be within the range of 10-19.5 hrs per week.  If you are not taking classes during Summer Quarter or interim periods, you are eligible to work up to 40 hrs/week, depending upon the work load and the student budget for Natural Sciences.  If you should work between 20-40 hrs/week, social security taxes will be deducted from your paycheck.  In addition, you are eligible to work as a student assistant for the UW Libraries for up to one quarter after graduation.

 

 

5)      Break & lunch/dinner

You are entitled to 15 minutes paid break for every four-hour period that you work.  This break will be written into your duty schedule.  If you wish to change the time, you must have the approval of your shift supervisor.  You may not use this break to make up time or leave early.  If you work six hours or more in a row, you will be strongly encouraged to take a half-hour or full hour lunch or dinner break, which will be unpaid.

 

6)      Taking time off

Taking time out from your work shift, for whatever reason, must be approved by your supervisor.  Absence from the job without approval, or the deliberate mis-representation of your hours on your time sheet, is grounds for dismissal.

 

7)      Punctuality

You must arrive on time for your scheduled work hours.  Showing up late two times without prior notice and supervisor approval is grounds for dismissal.  Only health or safety-related emergencies are excepted from this policy.

 

8)      Illness

If you are ill and cannot work, you must give at least two hours notice before your shift begins on weekdays.  Same-afternoon notice is expected for evening and closing shifts.  Prior-day notice is expected for illness on weekends or holidays (due to lack of available staff).  For work schedules involving weekday opening, notice must be given prior to 7:30 a.m. (the opening hour).  You must call in on a daily basis if your illness persists, unless you have made other arrangements with your supervisor.

 

9)      Substitutions

All schedule changes, including substitutions or changes in duties, must be approved in advance by a supervisor.  You may be required to have another NSL student assistant work for you in absences other than illness.  If you cannot find a substitute when required, you must either work your shift or have a supervisor’s approval to take the time off.  Substitutions should be arranged on an occasional basis only.

 

10)  Time sheets

It is your responsibility to fill out your time sheets completely, accurately, and legibly each time you work.  Be sure to sign your time sheet.  Your paycheck is based upon your time sheet, and inaccurate or incomplete time sheets may directly affect the amount or issuance of your paycheck.  Do not fill out your work hours ahead of time.  Follow your supervisor’s direction for recording hours, and initial any changes you make to the hours recorded.  Your supervisor will initial any changes that she makes.

 

11)  Conduct

UW Libraries employees are expected to conduct themselves in a thoughtful, professional manner, and maintain a work environment that promotes quality service to users, cooperation among staff, and a teamwork approach to carrying out tasks and solving problems.  In addition, you should respect the rights and diversity of others, especially since you will be working within a diverse community of library staff and users.

 

12)  Worktime Activities

While on the job, you should not engage in activities that detract from your ability to carry out your duties, such as visiting with friends or making personal phone calls.  Studying for classes or reading for personal gain during work hours is permissable only when you are assigned circulation desk time, and all priority work has been completed. While on work time, student assistants are subject to the same rules as staff regarding use of office equipment, which is not to be used for personal gain.

 

13)   Communication

It is expected that you will read both written and electronic communications from NSL staff on a regular basis, and respond to notes, e-mail and other queries in a timely manner, as required.  Check the student assignment schedule each day you report to work in case there are temporary changes in your duties.   Also, notify your supervisor if there are any conflicts or problems regarding your assigned duties.  Good communication is essential to an effective work environment.  If you should have a concern or problem with any aspect of your job, you will be relied upon to call it to the attention of your supervisor.  If you have a problem working with another student or staff member in the library, you should bring it either to the attention of your supervisor, or to another staff member with whom you are comfortable speaking.

 

 

SCHEDULE:

 

Whenever calling in to report schedule difficulties (illness or lateness), always ask to speak to your supervisor.  If you cannot speak with your supervisor, ask to speak with the next staff person in the communication tree as directed.  In all cases, know the name of the staff member that you speak with.

* Holiday open hours may not be the same hours as are regularly scheduled for that day of the week.  When a holiday falls on a weekend, it is usually observed on the closest weekday; open hours vary depending upon the holiday.  Watch for e-mail from your supervisor as a holiday approaches.
